  • Which email platform should we be on?

    Every organization’s size, technical requirements, and budget are different. For most nonprofits we work with, Mailchimp, Constant Contact, or Campaign Monitor handle the work well at reasonable cost. For organizations with more complex segmentation or CRM integration needs, HubSpot, Klaviyo, or direct-to-CRM tools (Salesforce Marketing Cloud, HubSpot, Pardot) make more sense. For very small organizations, tools like Buttondown or ConvertKit can be appropriate. We adapt to your existing platform in most cases. We only recommend switching when the platform genuinely can’t support your goals.

  • How often should we send emails?

    It depends entirely on your audience and your program’s type. Nonprofit lists typically tolerate two to six sends per month well. Retail and ecommerce lists can tolerate more. Advocacy lists during active campaigns can go higher. The wrong answer is whatever isn’t sustainable for your team, because inconsistent cadence hurts engagement more than any specific frequency does. We set a cadence that matches what your team can actually produce at quality..

  • Can you write the emails, or just build them?

    Both. We handle copy, design, production, and sending. For organizations with strong internal writing capacity, we can focus on strategy, templates, automation, and measurement while your team writes. For organizations without internal writing capacity, we handle the full production. Engagements scope based on where your team’s time is best spent.

  • Can you build automation inside our existing CRM?

    Yes, in most cases. We have deep experience with the major nonprofit and SMB platforms: Salesforce NPSP, HubSpot, Mailchimp, Klaviyo, Campaign Monitor, Constant Contact, ActiveCampaign, Bloomerang, DonorPerfect, and others. Automation work is typically scoped as a setup project followed by ongoing refinement. If your current platform genuinely can’t support the automation you need, we’ll flag it before starting.

  • What about list growth? Do you handle that too?

    Within defined scope. Email list growth typically comes from three sources: your website (signup forms, content offers, lead magnets), existing marketing channels (paid social, Google Ads, content marketing), and events or partnerships. We build the list-growth infrastructure (forms, landing pages, lead magnets, automation) and work with whatever channels are already in scope for the engagement. Aggressive list-buying or scraping is not something we do, because it hurts deliverability and produces poor-quality subscribers.

  • How does this work alongside our other marketing?

    Email typically connects to most of your marketing program: it receives traffic from your website, paid campaigns, and social, and it drives traffic back to your website, donation pages, and programs. When we’re already running other channels for you (paid social, SEO, web), email integrates naturally. When we’re just running email and other teams handle other channels, we coordinate on the handoffs so the program works as a unit.

  • What does this cost?

    Email marketing engagements typically run $3,000 to $10,000 per month on retainer, depending on scope, volume, automation complexity, and whether content production is included. Audits or strategy-only engagements run $4,500 to $10,000 as fixed-scope projects. Automation setup projects run $5,000 to $20,000 as one-time fees depending on scope, with ongoing management as a separate retainer. We scope honestly and won’t take on work where the math doesn’t justify the investment for your organization’s size.
